Portfolio Online is designed to be trainee-led with facility for those with other roles, such as supervisors, to access Portfolio Online to perform tasks related to their role.
The supervisor role with respect to Portfolio Online can be performed by any of the following.
- Educational Supervisor
- Clinical Supervisor
- Defence Senior Specialty Training Manager
- College Tutor
- Training Programme Director
- Associate College Tutor
- Postgraduate Dean
Supervisors can use their account on Portfolio Online to
- View the portfolios of the trainees they supervise
- Complete an assessment on a trainee
- Complete a review on trainee such as the Psychiatric Supervisor Report or ARCP Educational Supervisor Summary Report
- Release Mini-PAT feedback to a trainee
Supervisors are given access to a trainee's portfolio by the trainee they supervise. A step-by-step guide on how trainees do this called Add a Supervisor Relationship can be found in the Portfolio Online Knowledge Base.
Once a trainee has nominated a supervisor, the supervisor will receive an email prompting them to accept the nomination and create an account on Portfolio Online.
A supervisor account has some features which are the same as a trainee's account, but other features are different.
The Supervisor's Dashboard
The supervisor's dashboard is the first page a supervisor sees when logging on to their supervisor account and is where they can find the most useful or frequently used features.
The Outstanding Tasks Section of a Supervisor's Dashboard
The Outstanding Tasks section of a supervisor's dashboard is where supervisors can see things like notification requests made by trainees to complete a work-place based assessment (WPBA) or complete a review or are prompted to release MSF (Mini-PAT) feedback to a trainee once a mini-PAT has ended.
The Outstanding Tasks section gives supervisors a place to start or edit forms, or release feedback quickly and easily.
Supervisors can also cancel any nominations or delete a partially completed form from the Outstanding Tasks section if they wish.
Trainee Portfolio Cards on a Supervisor's Dashboard
Educational supervisors & most other supervisors will have portfolio cards for trainees currently under their supervision on their dashboard. By having portfolio cards for trainees on a supervisor's dashboard in this way, supervisors can quickly see key information about a trainee such as their current training level, or dates of ARCPs. They can also see a snapshot of where each trainee is at in terms of programme coverage and begin to navigate a trainee's portfolio using the links on the trainee's card. A Training Programme Director can find a list of the trainees they supervise on their trainees page.
The Profile Page
The Profile page on a supervisor's account contains the supervisor's personal information and is where the supervisor can edit their details and manage their email addresses and passwords.
How do I change my email address?
The Forms Page
This is where a supervisor can find any past forms they have completed or partially completed. Supervisors can use this page to evidence how they are fulfilling their role as supervisor.
The filter feature on this page can be used to find a particular form.
Forms which have been completed and submitted will have the status 'completed'. Forms which have been 'saved as draft' or have some required fields missing, will have the status 'in progress'.
The Trainees Page
This page contains a list of all the trainees currently under supervision. If supervisors have trainees on the list they no longer supervise, they can end a trainee-supervisor relationship here.
