Supervisors can view the portfolios of the trainees they supervise by logging in to their own account on Portfolio Online. A list of the trainees under a supervisor's supervision can be viewed from the supervisor's dashboard.
Each trainee has their own portfolio card. The portfolio card gives an overview of a trainee's progress.
In the example above, this trainee's portfolio card shows that they have 32 activities in their CT3 folder and that 43 out of the 43 competencies in the Core Psychiatry 2016 curriculum have activities mapped to them.
Supervisors can find out more information about a trainee's portfolio by clicking on any of the links on the card. They can also initiate an assessment or a review from here.
Viewing a Trainee's Whole Portfolio
To view a trainee's whole portfolio, supervisors can click on the the trainee's name on their portfolio card.
This will take the supervisor to the trainee's Portfolio page. From there, the supervisor can use the tabs in the trainee's portfolio view the trainee's folders, PDP (Personal Development Plan), activities, assessments, reviews, career history and list of supervisors.
The functions for the supervisor account can still be accessed across the top should they want to go back to their own account.
By navigating through the functions in the trainee account, the supervisor can see any content the trainee has not marked as private.
Viewing a Trainee's Training Level Folders
The trainee's folders page shows the trainee's portfolio broken down into training levels.
Supervisors can use this page to view the trainee's progress in training levels other than their current training level and see how their portfolio is developing over the course of their training.
Viewing a Trainee's Personal Development Plan (PDP)
The personal development plan page shows any current PDP Items the trainee is currently working on.
Supervisors can easily see if a PDP item has been linked to a curriculum by the trainee. Trainees do this to demonstrate how a PDP item will satisfy competencies on the curriculum once complete.
Supervisors can click on the PDP Item to find out more about the PDP item or comment use the comments box to record their feedback on a PDP item.
Supervisors can see any completed PDP items by clicking on 'Completed' on the PDP page.
Viewing a Trainee's Activities
The default view of activities is a list of all activities in chronological order.
Supervisors can enter the title of an activity or keyword in the search box to search for a particular activity by name.
Or they can use the filters to narrow down their search by folder, type, category etc.
Supervisors can easily see if an activity has been mapped to the curriculum or has any follow-up activities.
Viewing a Trainee's Curriculum Coverage.
Rather than view a trainee's activities as a list, supervisors can view a trainee's activities against the competencies in a curriculum on the curriculum coverage page of their portfolio.
Supervisors can use the filters to narrow down the view. Here, the trainee's CT3 folder has been selected.
Each competency is presented in a list with links to any mapped activities next to them.
Activities can also be viewed as PDP coverage.
Viewing a Trainee's Assessments
Work Place Based Assessments (WPBAs) are a subset of a trainee's activities and can be viewed either on the 'Activities' page or on the 'Assessments' page of a trainee's account. Filters on the 'Assessments' page can be use to see how many assessments a trainee has completed at a particular training level or over a period of several training levels. The number of assessments is shown in brackets.
Viewing a Trainee's Reviews
Supervisors can see all completed online reviews on a trainee on the 'Reviews' page of the trainee's account including those from previous placements.
The Exams section of Portfolio Online is updated periodically using the exams database at the Royal College of Psychiatrists.
The Career History section of a trainee's portfolio contains details of the posts a trainee has held during training. Information about the start and end date of posts, job title & % full-time equivalent can be found here.
